Refund policy

1) A student may be entitled to a refund of tuition fees in the event that:

(a) The student provides written notice to the Head of Teacher Training of IH Career College that he or she is withdrawing from the program; or
(b) IH Career College provides written notice to the student advising that the student has been dismissed from the program.

2) The written notice of withdrawal or dismissal may be delivered in any manner provided that a receipt or other verification is available that indicates the date on which the notice is delivered.

3) The notice of withdrawal or dismissal is deemed to be effective from the date it is delivered.

4) The refund to which a student is entitled is calculated on the total tuition fees due under the contract. Where total tuition fees have not yet been collected, IH Career College is not responsible for refunding more than has been collected to date and a student may be required to make up for monies due under the contract.

5) If IH Career College has received fees in excess of the amount it is entitled to under the student contract, the excess amount must be refunded.

6) Refund policy for students:

(a) Refunds before the program of study begins:

1. If written notice of withdrawal is received by IH Career College within 7 days after the contract is made, and before the commencement of the period of instruction specified in the contract, IH Career College may retain 5% of the total tuition and fees due under the contract to a maximum of $250.
2. If written notice of withdrawal is received by IH Career College 30 days or more before the commencement of the period of instruction specified in the contract and more than 7 days after the contract was made, IH Career College may retain 10% of total tuition only due under the contract to a maximum of $1000.
3. Subject to Section 6(a)(1) above, if written notice of withdrawal is received by IH Career College less than 30 days before the commencement of the period of instruction specified in the contract, and more than 7 days after the contract was made, IH Career College may retain 20% of the total tuition only, due under the contract to a maximum of $1300.

7) Refunds after the program of study starts:

(a) If written notice of withdrawal is received by IH Career College or a student is dismissed before 10% of the period of instruction specified in the contract has elapsed, IH Career College may retain 30% of the tuition due under the contract.
(b) If written notice of withdrawal is received by IH Career College, or a student is dismissed after 10% and before 30% of the period of instruction specified in the contract has elapsed, IH Career College may retain 50% of the tuition due under the contract.
(c) If a student withdraws or is dismissed after 30% of the period of instruction specified in the contract has elapsed, no refund is required.

8) Where a student did not meet the institutional and/or program specific minimum requirements for admission through no misrepresentation or fault of their own, IH Career College must refund all tuition and fees paid under the contract, less the applicable non-refundable student application or registration fee.

9) Where a student withdraws or is dismissed from their program, they are entitled to 100% refund of any as-yet to be received consumables that have been pre-paid.

10) Where a student withdraws or is dismissed from their program after receiving technical equipment from IH Career College free of charge:

(a) The student must return the equipment unopened or as issued within 14 calendar days; and
(b) If the student fails to return the equipment as set out above, IH Career College may deduct the reasonable cost of the equipment from any amount to be refunded to the student.

11) Refunds owed to students must be paid within 30 days of IH Career College receiving written notification of withdrawal and all required supporting documentation, or within 30 days of an institution’s written notice of dismissal.

12) Where the delivery of the program of study is through home study or distance education, refunds must be based on the percent of the program of study completed at the rates as set out in Section 7 above.

IH Career College Student Dismissal Policy

Should a situation arise where a student’s enrollment at the school is felt to be detrimental or damaging to the other students or staff members, or to the atmosphere or safety of the school, the student may be dismissed from the school.

Any of the following will result in immediate dismissal without a written warning letter given: 

1. Sexual assault
2. Physical assault or other violent acts committed either on campus or off campus against any other student or member of staff.
3. Sexual Harassment (1 warning letter may be given depending on the severity of the incident)
4. Vandalism of school property
5. Verbal abuse or threats
6. Theft

The following infractions will result in dismissal with 1 prior warning letter:

1. Smoking in non-designated smoking areas
2. Consuming food and/or drinks at a computer or in the computer lab
3. Abuse of alcohol and/or narcotics on campus
4. Disruptive or offensive behavior in the classroom or common areas
5. Making inappropriate remarks concerning one’s ethnicity, race, religion or sexual orientation
6. Any manner of recruitment or attempted recruitment without prior knowledge and consent from the School Director
7. Damage to school’s or staff equipment resulting from careless or inappropriate use
8. Unauthorized use of school equipment

Any tuition refunds resulting from a dismissal will be paid out according to our refund policy.

IH Vancouver Career College Dispute Resolution Policy

Should a dispute arise among staff and/or students at IH Vancouver Career College, Our Senior Academic Administrator (SAA) is designated to review the matter.
Any and all formal complaints must be made in writing by each individual involved and submitted to the Head of College.

If our SAA is directly involved in the dispute, our Head of College will review the complaint.

Once a complaint has been submitted, all material will be reviewed and a thorough investigation will be made concerning the issue. Each individual involved will receive a copy of the written decision from the school.

IH Career College Admissions Policy (Teacher Training)

Selection of candidates
Candidates must be at least 20 years old and demonstrate that they have an appropriate level of education, experience and abilities that will enable them to take the course and subsequently take up language teaching work.
Only candidates who have a realistic chance of being successful on the course will be considered, although candidates must understand that acceptance onto a course is no guarantee of success on the course.

Means of Candidate Selection

The means by which the course organizer will ensure these selection criteria are fulfilled will include:
• application form
• selection task (including some extended writing and a task of level of language awareness)
• interview
• references (where appropriate)

Notes:
Only candidates who posses a recognized university degree will be eligible to receive TESL Canada Professional Level 1 status for teaching in Canada.

Non-native speaker candidates must be able to provide proof of English language
proficiency to TESL Canada if choosing to apply for TESL Canada certification.

Acceptable Proof:

TOEFL iBT Overall 101 with a minimum of 23 in Listening, 24 in Reading, 27 in Speaking and 27 in Writing
IELTS Academic 7.0 overall with a minimum of 7 in each skill area
MELAB 85 / with a speaking test score 4
CanTEST Listening, reading, writing 5, speaking 4.5
CAEL Band 60 overall, with a min. of 60 in each of the writing and speaking subtests
Common European Framework B2 (FCE Pass)
Canadian Language Benchmarks CLB 8 in each area

or one of High school graduation from a high school in Canada, including minimum English Grade 12 score of 70%

Grade appeal

Strict criteria are followed to ensure that the awarding of grades is done in a fair manner. Should a dispute arise between a trainee and one of their course trainers, they can make a written or verbal appeal to the Head of College.

If the matter is unable to be settled within IH Vancouver, appeals on the
awarding of grades and certificates can be directed to the IHWO in London, U.K. at info@ihworld.com.

Attendance policies

CELTA/IHC in TESL/ID TESOL/J-Shine

100% attendance is expected throughout the course. In the case of unavoidable absence such as illness, family bereavement or unexpected family commitment, the work from the sessions missed must be made up and arranged with the tutor. In the event that the minimum attendance requirements are not met, candidates will be unable to pass the course.

Customer Service Programs and J-Shine

(a) Attendance
Students are required to attend all classes. If you cannot attend a class, you should notify the teacher or the school office before class. If you are absent for more than 20% of your classes in a month, neither a certificate nor a report card will be issued. It is your responsibility to make up any missed assignments or tests.

(b) Absence/Lateness
If you are more than fifteen minutes late, you will not be allowed into the classroom. Three times late will be counted as one absence.

Work Experience Policies

IH Career College provides practicum program components to students who have satisfactorily completed academic requirements up to the point at which the placement is scheduled to occur – please see your program outline for specific dates and schedules. Practicum program components are designed and operated according to the rules of: the BC career college accrediting body, PCTIA ; the BC Employment Standards Act ; and for international students, Canadian immigration law . As these rules are written to meet legal and third party regulatory requirements, students should understand that these rules must be interpreted strictly.

This document, the Work Experience Policy, describes all program terms and conditions for Practicum Program students.

(A) Terminology

1. “Practicum” placements are full or part-time periods of supervised professional work experience at a host company. Placements are often unpaid. Practicums are done solely as part of a program of studies and must be approved, monitored, and evaluated by the school.
2. “Host organizations” are companies other than the school, at which students do their practicum placements.
3. “Placement”, “Work Term”, “Practicum Term” each refer to the period of time when a student is completing a practicum at a host company and is not in class.
4. “Non-compliant” is a serious violation of program rules that the student has refused to correct and that in some cases could lead to the student’s removal from the practicum program. For foreign students this may also potentially lead to a reporting of their non-compliant status to Citizenship and Immigration Canada (CIC).

(B) General Terms and Conditions

1. Practicum placements may not exceed 50% of the total program of studies.
2. IH Career College and our partner firm, Experience Education, will assist students during the practicum search – including arranging interviews for students, but it is the ultimate responsibility of the student to secure their practicum placement. Please see ‘Placement Process’ for more information.
3. All practicum placements are within Translink zones 1, 2, and 3. Students in arranged placement must be available for interviews and placements anywhere within this area. Students who refuse to attend an interview or accept a placement within any of the listed zones, due to the distance to the host company, are considered to be non-compliant with program rules (please see Section J below).
4. No student may begin their practicum until it is approved by their IH Career College instructor. This approval is indicated by a school representative’s signature on the first page of the student’s Placement Agreement.
5. All practicum placements must be demonstrably connected to the student’s program of studies. Placements which, in the sole opinion of the IH Career College instructor are not sufficiently connected to the student’s program of studies will not be approved.
6. All unpaid practicum placements (including those which are remunerated with a stipend) are not considered “work” under the BC Employment Standards Act, exempting them from the provisions of this act.
7. All practicum placements that are paid at minimum wage or above are considered “work” under the BC Employment Standards Act.

(C) Program Requirements

1. In order to participate in a practicum , students must meet all of the following conditions:
a. Successful completion of the in-class component of the Customer Service Plus Program
b. A cumulative grade-point average of at least 60%
c. An attendance rate of at least 80%
d. If a foreign student, the student must possess a valid work and study permit from Immigration Canada

(D) Placement Process – Arranged Placement

1. The school will prepare a Registration Form and a copy of this Work Experience Policy signed by the student and submit them to Experience Education at least 8 weeks before the start of the practicum component.
2. Experience Education will contact the student via email and arrange a meeting to discuss their practicum objectives.
3. Students will be sent a welcome message after the initial meeting with Experience Education. This welcome message includes a resume template and resume sample, as well as information on program conflict resolution, employment safety, employment standards, and a more detailed outline of this placement process.
4. Experience Education will do individual resume preparation with the student via email.
5. After the resume is completed, Experience Education will send the student interview preparation materials to practice at home. After the student has had the opportunity to review these materials, they will be brought to the Experience Education office for one to one interview practice. At the end of the interview practice session, the student will be sent notes on their performance.
6. When a student completes their resume and interview preparation, their file will move over from Experience Education student services, to EE’s placement team. Typically within 2 weeks of the transfer to the placement team, a student will be sent interview notice. This notice includes details on their prospective host company, the interviewer’s name, and the place and time of the interview.
7. If a student passes their interview, Experience Education will draft a placement agreement and submit it to the school for approval. If approved, the placement process is complete, and no further arranged interviews will be offered.
8. If a student does not pass their interview, or if their placement is not approved by the school, Experience Education will arrange a new interview.
9. Students may attend a maximum of 5 arranged interviews for paid placements. This does not mean that each student is guaranteed to have 5 interviews. Students are offered interviews until they pass. If a student passes their first interview, they will have only 1 interview. If a student passes their third interview, they will have only 3 interviews. Students should not interpret Point 9 to mean that they will have multiple interviews, and the ability to choose between multiple placement offers.
10. If a student does not pass 5 interviews, they will be offered an unpaid placement.
11. Students will interview for unpaid placements until they pass. There is no maximum number of interviews for unpaid placement.
12. An unpaid practicum placement search will be stopped if a student no longer has sufficient time remaining to meet their practicum hours requirements. Sufficient time is calculated by multiplying the remaining weeks available in the practicum term by 35 to determine the maximum hours the student is likely to work – if this number is less than 80% of the student’s required program hours, their placement search is stopped. Students in this situation will be offered an alternative practicum at the school, in a customer service role.
13. Students who, after failing 5 interviews for a paid placement, refuse to participate in an unpaid practicum, are considered to be non-compliant with program rules (please see Section J below).

(E) Interviewing

1. Experience Education will notify students of upcoming interviews by email. Students who fail to check their email, or do not do so in time to attend an interview, will be considered to be non-compliant with program rules (please see Section J below).
2. Students must attend all arranged interviews. Students who refuse to attend an interview due to distance, company size, notoriety or the gender or ethnic makeup of the host company’s staff will considered to be non-compliant with program rules.
3. Students must do their best to pass each interview, this includes researching the host company in advance, dressing appropriately for the interview, arriving on time at the interview, and demonstrating their interest in the placement. Students who tell an interviewer they are not interested in, or do not want the placement, or who arrive too late for an interview to take place, or who do not arrive at an interview may be considered to be non-compliant with program rules.
4. A student in arranged placement may not communicate with the host directly about any changes to their work term. All changes to the work term must be processed through Experience Education. Such changes include, shortening or lengthening the work term, changing start or end dates, taking an extended leave of absence, restricting availability.
5. Students in a full-time practicum must be available full-time, 7 days per week. Students who restrict their availability may not be accepted into arranged placement. Students who restrict their availability after being accepted into arranged placement, may be considered to be non-compliant with program rules.

(F) During the Placement

1. In order to best succeed at their practicum placement, students are strongly encouraged to demonstrate their flexibility. Flexibility includes things such as being open to new tasks, as well as varied scheduling.
2. Attendance at the host company is mandatory. If a student is absent or late for any reason, they must call their host company supervisor at the earliest opportunity. Failure to do so could lead to their firing from their placement with cause, meaning the student would not be able to complete their work term.
3. Students should not request time off during their practicum placement. However in extreme situations where there is no other choice but to request time off, they should do so as far in advance as possible by communicating in writing with their host company supervisor. The host company supervisor has the right to turn down the student’s request.
4. Students in paid practicums must ensure that they have a Social Insurance Number (SIN) before their first day of work. Students who do not have a SIN on their first day of work may lose their placement.
5. In many cases, paid practicum host companies pay their workers by way of ‘direct deposit’ to their Canadian bank account. If a student does not have a Canadian bank account, they should open one before their first day of work.
6. Students are responsible for making themselves aware of workplace health and safety procedures at the host company. Workplace safety is monitored by a government organization called Worksafe BC (www.worksafebc.com).

(G) Placement Monitoring

1. Students must complete regular reports during their work terms. Students in arranged placements will receive report requests from Experience Education directing them to online reports. These must be completed each two weeks. Students who fail to complete any of their reports may be declared ‘non-compliant’ with program rules. Students in self-placement programs will receive report requests from their IH Career College instructor.
2. At the end of the placement, the student will be given a paper report to prepare on their placement. They will have one week to complete this report and return it to Experience Education. Students who fail to return their report in that time may in some cases fail their work term.
3. Experience Education and/or your IH Instructor will visit each workplace at least once during the work term.
4. Reports will be done with host companies on a monthly basis. These reports may be done orally, with a written record of them placed in the student’s file. At the end of the placement, hosts are required to complete a written evaluation of the student and return it to Experience Education or your IH Instructor.
5. Experience Education reviews all reports carefully. If any issue is detected in a report, the host or student is automatically direct to the conflict resolution policy.
6. It is the requirement of each student to record their hours, and to notify Experience Education or their IH Instructor if they believe they are not receiving a sufficient number of hours to complete their work term requirements.

(H) Conflict Resolution

1. In the event of any problem in the workplace, students in arranged placements must inform Experience Education immediately. Students in self-placements must inform their IH instructor immediately.
2. Students who have a conflict are required to work on resolving that conflict through the conflict resolution procedure below:

1. If there is a conflict, the student must inform Experience Education in writing that there is a problem, conflict, or other substantive issue at their host company.
2. Experience Education will contact the student to determine the nature of the issue.
3. If necessary, Experience Education will contact the host company to resolve the issue. This will only be done with written permission from the student.
4. Experience Education will follow up with the student to discuss the solution arrived at with the host company.
5. The student will continue with their practicum placement, and completes a new online report one week later to let Experience Education know if the attempted solution has solved the problem.
6. If there is still an issue, Experience Education will make a second and final attempt to solve the issue. If not previously permitted, Experience Education must be allowed to contact the host at this point.
7. The student will complete a second report at the end of the week to let Experience Education know if the new solution has worked.
8. If the solution has not worked and there is still a substantive issue preventing the student from completing their work term, they may be eligible for a re-placement at a different host company.

Exceptional Cases

Workplace Harassment

1. Workplace bullying and harassment are not a regular part of work, and are not tolerated as part of the practicum program. All reports of bullying or harassment in the workplace are treated seriously and each receives individual attention in order to address the issue.
2. Students who believe they have experienced bullying or harassment in their workplace should report this issue to Experience Education or their IH Instructor.
3. Once notified of the issue, Experience Education or the IH Instructor will arrange a meeting with the student to gather details about the harassment claim.
4. In some cases, where a host company has an established bullying and harassment policy, Experience Education and International House Career College will assist the student in contacting the host and pursuing a remedy through that established policy.
5. If a host company does not have an established bullying and harassment policy, the student, Experience Education, and International House Career College will decide together if they will approach the host company to resolve the issue directly, or if they will refer the issue to Worksafe BC (www.worksafebc.com).
6. In some cases, a student who has reported a bullying or harassment claim may be eligible for a re-placement at a different host company.

Delinquent or Incorrect Payment

1. Students in paid practicum placements are paid directly by their host companies each two weeks in arrears. Statutory deductions are taken from the cheque. The types of allowed deductions can be seen here: http://www.labour.gov.bc.ca/esb/facshts/deductions.htm
2. Neither Experience Education or International House Career College are responsible for any unpaid wages to practicum students by host companies
3. In the event that a student believes they have not been paid the full amount owing to them, Experience Education or International House Career College will assist the student in pursuing the BC Government’s Complaint Resolution Procedure described here: http://www.labour.gov.bc.ca/esb/facshts/complaint_resolution.htm
4. If the payment issue is not resolved in a timely manner, the student may be eligible for a re-placement at a different host company.

(I) Re-Placements for Arranged Placement Students

1. If a student has completed at least 80% of their required practicum hours, a replacement will not be offered.
2. If a student has not completed at least 80% of their required practicum hours, has followed the conflict resolution policy and has a sufficient amount of time (as defined using the formula shown in the footnotes ) remaining in their practicum placement, Experience Education will arrange a new practicum placement for the student.
a. If the student has a sufficient amount of time remaining in their practicum in terms of hours, but fewer than 4 weeks or 20 hours remaining in their term, their practicum will be completed at their school.
b. If the student does not have a sufficient amount of time remaining, or if they refuse a re-placement offer, their practicum term may be ended.
3. Except in cases of workplace harassment or delinquent payment, the student must not quit their practicum placement during the re-placement process. If they do so, their practicum term may be ended.

(J) Non-Compliance

1. Students who violate the rules of this program may be considered non-compliant with program rules.
2. If a student is declared non-compliant, they will be notified of this in writing, and where possible, given the opportunity to correct this problem.
3. If a student does not correct their non-compliance problem, or if by the nature of their non-compliance the problem cannot be corrected (for example, where a student quits their placement), they will have failed the practicum component of the Customer Service Plus Practicum.
4. If an international student fails the practicum component of the program due to non-compliance, IH Career College, must report this to CIC, and the student may be instructed of their obligation to surrender their work permit to CIC.

(K) Cancellation and Withdrawals

The practicum component of the Customer Service Plus Practicum Program is subject to the cancellation and withdrawal policy of IH Career College. Successful completion of the practicum is required for graduation.
